Backstory

Kingsbridge Private Hospital Group, a leading healthcare provider in Northern Ireland, operates several treatment locations across the region. They came to us at A-Development with a specific request: to build a web application that would allow their clinical staff to easily submit and renew the documentation required for practicing privileges , formal authorization allowing clinicians to work at specific hospitals.

The challenge Kingsbridge faced was twofold:

  • managing these documents manually across multiple locations was becoming inefficient and prone to error. Administrators were spending too much time chasing expired documents, leading to operational bottlenecks and compliance risks.
  • each clinic needed flexibility in hosting the platform, managing multiple clinician roles, and uploading documentation in different forms.

The stakes were high: without a streamlined process, clinicians risked not being cleared to practise which might even lead to a criminal offence.

Our team at A-Development started by designing a web application that allowed clinical staff to submit and renew required documents with minimal effort. We focused on automating reminders for expiring documents, freeing up administrators from manual tracking. This way, no document slipped through the cracks, and clinicians remained compliant across all treatment sites.

But we didn’t stop there.

Kingsbridge chose to host the system on Azure, fitting their security needs, and the platform supported multiple clinician roles, ensuring that documents were managed without duplication.

Each clinic had the flexibility to tailor the system to their specific needs, and real-time notifications kept both clinicians and administrators informed of approvals, rejections, and upcoming renewals. In the end, Kingsbridge had a scalable platform that automated compliance, reduced admin time, and kept clinicians authorised to practise without error.

Automated document tracking

Clinicians can easily upload their required documents —whether it is a GMC registration in the UK or a routine appraisal—through a secure portal. The system automatically tracks expiration dates, sending reminders before documents expire.

This cuts down on manual oversight and helps clinics stay on top of compliance​.

Multi-role and multi-location support

Clinicians often work across multiple treatment sites like KPH Belfast and KPH Sligo. The platform allows documents to be approved for each location separately, ensuring that compliance isn’t location-dependent. It also supports multiple roles, such as Consultant or RMO, and handles overlapping document requirements​.

Custom forms

Administrators have the flexibility to create and customise forms for various document submissions. Whether they need an appraisal form or a reference check, the custom form builder makes it easy to capture the right data, and these forms could be sent directly to clinicians or external contacts via email​.

Audit trails and reporting

With automated notifications and real-time tracking, Kingsbridge ensured that clinicians remained compliant across all locations. Expired credentials were flagged immediately, preventing clinicians from working without proper documentation.
